Calendly is a scheduling tool that simplifies the process of setting up appointments and meetings. Users find that Calendly makes booking appointments much easier and reduces the back-and-forth communication. With its simple and clean interface, Calendly solves the problem of scheduling consultations by providing a hassle-free experience for both users and clients. It frees up time for sales and marketing reps to focus on important tasks, automates marketing processes, and accomplishes tasks with just one click. Users appreciate that Calendly can be easily synced with Google calendar, automatically updating their schedule. This allows them to set up meetings passively and schedule times that are convenient for contacts.
Calendly is used in various scenarios, such as onboarding meetings with new customers, one-off trainings with current customers, scheduling interviews, matching applicant schedules with interviewers, and booking sales calls. It is also utilized by businesses for client calls and meeting requests. The ability to integrate with Google calendar, send reminders automatically, and customize each client session makes Calendly a preferred choice among freelance consultants. Nonprofit organizations benefit from Calendly as it reduces the need for sending back-and-forth emails when scheduling meetings. Additionally, individuals rely on Calendly to book lunch or coffee meetings effortlessly without multiple emails to find a mutually available time slot.
Calendly is widely used by Customer Experience and User Experience teams for coordinating interviews and user testing, eliminating the outdated method of manually suggesting available times. Employees across departments use Calendly to organize meeting dates, prevent overlapping in schedules, receive calendar reminders, and invite external participants from outsourced companies. Moreover, recruiters leverage Calendly to streamline the interview scheduling process for candidates. The integration with video conferencing tools like Zoom and Webex has received positive feedback from prospects and clients.
While some users have found challenges in integrating Calendly with Microsoft Office or Outlook, overall it is considered a helpful product. The free version is recommended for basic needs, and the premium features cater to those requiring advanced functionalities. Calendly's efficiency in automating scheduling, reducing backend work for appointment setters, and streamlining webinar and consulting session scheduling has made it a go-to tool for many organizations. Its ability to seamlessly set up meetings and eliminate extensive booking conversations, especially for global clients, has been highly appreciated by users.
User-Friendly Interface: Calendly is praised for its user-friendly and intuitive interface. Users appreciate the clean and simple design, making it easy to navigate and customize. The visual interface for clients is described as clutter-free and straightforward, allowing them to see available days and times without any confusion.
Customization Options: Calendly offers a wide range of customization options that users find valuable. They can easily set up appointment lengths, names, criteria, and mandatory questions according to their preferences. This allows users to gather relevant information for sales calls and streamline the scheduling process.
Integration with Google Calendar: Calendly's integration with Google Calendar, Outlook, and iCal is highly valued by users. It provides real-time updates, avoids scheduling conflicts, and seamlessly adds confirmed appointments to users' calendars.
Limited customization options: Users mentioned frustration with the lack of customization and branding options in Calendly. Some users expressed the desire to upload brand logos, assets, and use brand color codes in their profile settings.
Inability to sync with multiple calendars: The inability of Calendly to sync with more than one calendar at a time was mentioned as inconvenient for users who keep different calendars or use different calendar platforms.
Lack of flexibility in scheduling: Users found the hourly and half-hourly session-based scheduling limitation problematic, as they desired the ability to schedule in 15-minute increments even with existing bookings in adjacent time slots.
Users highly recommend Calendly for its effectiveness in scheduling meetings and its suitability for their company needs. They greatly appreciate the value they receive for the cost paid. Additionally, they advise considering alternative solutions if reminders or requesting specific information during a demo booking are necessary. These user recommendations provide valuable insights into the strengths and limitations of Calendly as a scheduling tool, making it an excellent option for simplifying meeting scheduling and meeting basic requirements.

(1-25 of 38)Calendly is the best way to value to customers by giving them an easy way to schedule meetings.
- Automated scheduling.
- Group scheduling.
- Solid security.
- Integration with calendar and CRM products.
- Excellent meeting analytics.
- Open to customization.
- There has been no upsets. All features are incredible.
Very robust and easy to use!
- Strong outlook integration.
- Strong salesforce integration
- Great email and text reminders for meetings
- Easy ability to update avaliability and all settings
- Strong dashboard and reporting
- It could be better with routing to certain people based on rules set/criteria based on data in salesforce
- It sometimes doesn’t equal out for round Robin meetings based on equal distribution- more demos getting booked in with certain reps for some reason.
- It would be really nice if you could change the type of meeting that is already booked to a different event type within the dashboard instead of having to cancel and reschedule that meeting
Calendly - the top choice for meeting scheduler
- Integration with outlook calendar to only present time slots with actual availability
- Customization of time slots - auto setting space between meetings, certain days of the week for availability, etc
- Ability to view calendars in your own timezone for customers across the country is super helpful!
- Auto-generating zoom/teams links would be helpful (not sure if this integration exists)
- Round-robin assignment of meetings for teams based on availability/capacity
Calendly--the smart way to schedule your clients!
- Organization--different event types.
- Specificity--you can create days the same or do date specific hours.
- It makes things simple for the client by giving them an easy link for signup.
- Calendly changed its layout for the user, and it is a little harder to find things like date-specific information or some of the editing. It's still there, but not as easily seen.
- I wouldn't mind making it easier for clients to cancel their appointments and then schedule new ones. It takes some effort on their part.
- It would be nice to have a way to embed it on a website or outside place.
Best Self Schedule tool.
- Self service schedule.
- Integrate to my calendar.
- set everything up.
- Automatic confirmation.
- Customize messages.
- Custom fields to be scheduled.
Talk to Me with Calendly.
- Nice and simple GUI.
- Real time updates.
- Easy to customise.
- Branding could be better.
- Being able to move things off the screen that are not needed.
Calendly - the scheduling lifesaver
- Calendly provides availability in a clean, simple, visually appealing way.
- Calendly offers the option to use workflows to send automated reminders and follow-ups to users.
- Calendly provides excellent customer service and interaction.
- Adding more images and branding to our scheduling pages would be great.
- More group scheduling options like polls, or allowing one person to reserve a group appointment and share that appointment's link with other potential group members.
Calendly Saves the Day!
The way we use it today is we have segmented our regions (East, Central, West) and each region has an associate from my team who manages the registration, integrations and is the main point of contact. Every user sets up their own Calendly account thru our license and manages it on their own.
- "Set it and forget it" is something we say often at my company because Calendly events usually can be set up on the first go and does not need to be looked at again. So the ease of being able to just pick a link to share with clients is awesome. We don't have to continuously select dates/times we're free. Calendar integrations with Calendly take care of that for you.
- Workflows are my absolute favourite because of the possibilities. If you're creative you can use them beyond its intended use. For example, we use the Thank You workflow as a digital business card.
- I could talk about the product all day long but I think it's also important to note the people behind the product. In this day and age where robots and AI are gaining momentum, having human contact is important and valued. Not just that, but quality customer service where they go above and beyond to meet your needs as well as showing their appreciation to you for being their customer. The relationships I've built with the Calendly staff is like a 3rd family - they truly do care!
- After a meeting is booked, having the ability to change the location without canceling the entire booking.
- Being able to offer 2 different locked in locations for certain time periods of the day within the same event. So you're not having to create 2 events for the same thing, only different locations.
- Giving users permission to create their own routing forms. We run an independent business model where our users like to have control over their subscriptions.
It would be less appropriate if someone reaches out with their specific date and times and you still pass on your Calendly link. At our organization it's best practices at that point to schedule on their behalf.
There's no competitor for Calendly! This is the best!
- Meeting reminders are set using workflows.
- Ability to set up different meeting slots using the "Event" feature.
- Possibility to work with multiple time zones.
- Features that support pre-meeting notes/pointers.
- I love the UI, but it will be definitely great if colors can change a bit.
- Workflows are game changers, but having an automated system to send post-call notes as per different scenarios will be helpful.
- Call confirmations can be indicated in a much brighter and visible way.
Spend time and effort on the actual conversation- not scheduling!
- Scheduling- schedule meetings directly on your calendar. No more "does that time work for you?"
- Communication/Reminders- automate scheduling reminders for participants to improve attendance rates
- Availability- Update availability easily for holidays, vacations, etc.
- Tracking people who reschedule frequently (CRM type tracking)
It makes things streamlined when there are a lot of moving pieces.
Less appropriate is for maybe for people who don't have scheduling needs, however I don't think people who don't have these needs would be looking for a platform to assist.
Ease of Use and Integration for Calendar Users
It helps with getting people connected easily without going back and forth.
Also, it's helpful for where someone can see your availability and set up a meeting without needing to contact the user.
- Calendar integration
- Ease of use
- Differentiated services
- Multiple functionality of different events (merging two event types into one)
The most efficient scheduler you’ll ever find
- Customer service (quick response times + competent representatives)
- Active listening to their current clients
- Intuitive interface
- Easy automated e-mail creation
- Updating my Availability on the master calendar. That particular backend interface is not easy to navigate.
- Adding a “gift card” or “coupon code” field to the payment options would be so much more convenient
Calendly lacks real tech support
Calendly is better than the rest!
- Customized schedule blocking for seamless appointments
- Integrating with multiple platforms
- Extremely user friendly
- I wish it would stay signed in
Calendly Review
- Easy to Use, I am an idiot and was able to ingest all my calendar information.
- Meshes multiple calendars easily. For folks with very complex available concerns this is crucial.
- There needs to be more depth for situations where you have to sync your own Calendly to an employer's Calendly.
- Multi User scheduling seems less intuitive than I was hoping for.
Sure, I'd be Happy to Meet - Check My Calendar
- Sales. Easy for people to book so less back and forth.
- Managed access. Easy for me to offer people the "right kind" of slot - I have like 5 hidden event-types I share only with certain people so they can access different availability.
- Collaborative events! Some of us frequently meet in pairs or groups, e.g., one of our regional leaders and I have a shared link we can send out to people to find a time that works for all of us. LOVE this.
- I mentioned collaborative events. You can only set this up for people who are all users inside your account. So even if I have a partner who uses Calendly under his own company account, I don't think I can make a shared event with him.
- Also mentioned already, this isn't a con of the product but a user issue: If you make openings, people will book. So you HAVE TO be disciplined and get everything on your calendar or someone will slip in a booking when you were planning to go to lunch, etc.
Coaches etc: I've not tried functions like paid appointments, but in theory you can set up for people to pay when they book.
Calendly Can Do It!
Marketing automation for the next steps is the business problem it addresses for us. Instead of taking several steps to accomplish one thing, we are now able to do that in one click.
- Sign up is super fast.
- User Experience (UX) is incredible.
- Embed Calendly within a website easily.
- From sign up to actually using Calendly for an average user is 5 minutes or less.
- If you have more than one company, you cannot use one account. This is the most difficult hurdle to me but still one I am willing to jump over considering all the benefits of Calendly.
- Adding custom color ability on event types. Example: One of my companies doesn't use any of the color choices. I would like to be able to color code those to my brand.
- Brand/Asset kit would be a wonderful addition. In profile settings, have a place to upload brand logo, assets, and brand color codes.
Accelerating the sales process and lead generation are reasons I feel it is well suited. The simplicity of Calendly helps the brain to make better decisions because it is not distracted.
Calendly would not be well suited for entrepreneurs who have multiple companies. It would also not work well and tend to be confusing for holding company or any organization requiring multiple domain/extensions.
Simple, dependable way to book appointments
- Great for setting up external meetings.
- Particularly good if you have multiple people from your organization that you want to include.
- Has all of the settings and configurations that you might need - I haven't run into a problem that I couldn't solve yet.
- The user experience has always been it's downfall, particularly when you want to set up appointments with multiple people from your team. It just isn't intuitive.
Take the time and effort out of scheduling!
- Sending reminders on our behalf.
- Syncing to our calendars so we do not have to try and keep things updated.
- Allowing us to create unique and personalized invitations.
- Allowing us to add a location to the invitation.
- Users can change their date and time if they need to and we don't have to be involved with trying to set something new up.
- It is very basic, which is great for users but it could look a bit more exciting.
Calendly Is a Lifesaver
- Ease of use
- Saves time
- Would like to be able to have a way to propose times for a group of clients
It will get the job done with minimal fuss!
- Automatic timezone updates
- Set and change your availability
- Schedule setting can be a bit cumbersome, with lots of clicks
An excellent, simple solution to reclaim your time
I also support clients who may want to use it for their own needs, to set it up and integrate it with other necessary processes.
Until one can get to a job level where they can afford a personal assistant (if at all), this is an excellent way of reclaiming time from pointless emails back-and-forth in finding availability. Additionally, it helps me to get the most out of my time since clients can claim every bit of time that'd be available on my calendar (within my defined criteria).
- User experience
- Appointment Scheduling
- Gaps in group scheduling
I've also helped clients implement it in scenarios where they want to enable customers to visit them for their services etc. although Acuity etc. might be more functional on that front.
Don't try to find the time! Use Calendly!
- Calendaring.
- It is easy to set windows of unavailability.
- Zoom integration can be glitchy at times.
- New event type workflow could be better.
Calendly provides scheduling simplicity
- Great at collaborating to find a common meeting time that works for everyone.
- Good at distributing meeting responsibility to multiple internal team members.
- While it supports systems like Zapier, direct integration with third-party apps is limited.
- Styling of your calendar isn't really available, so when you embed it into your website you have limited options due to it being an iframe.
Calendly spares us from hours of tedious schedule coordination! Absolutely critical tool.
- Shows all available meeting times to invitees in an easy to use interface.
- Block out available times, lets you control "quiet zones" in your week when you can't be interrupted.
- Needs the ability for invitee to import their calendar and auto-suggest meeting dates.
- Could use more "round robin" voting on potential dates (like Doodle).
