As an organization, we are also in the modern era where we get to have most of our meetings virtually and therefore we find Calendly so important when scheduling our meetings. The greatest benefit we are seeing with having Calendly is automating our meeting scheduling experience which helps be accurate at scheduling and eliminate inconveniences of double scheduling.

We use Calendly for all of our sales and implementation meetings/demos/onboarding calls, etc. We use it for customers and prospects to be able to book in with many different people at our company and to learn about many different types of products/services that we sell.

  • It could be better with routing to certain people based on rules set/criteria based on data in salesforce
  • It sometimes doesn’t equal out for round Robin meetings based on equal distribution- more demos getting booked in with certain reps for some reason.
  • It would be really nice if you could change the type of meeting that is already booked to a different event type within the dashboard instead of having to cancel and reschedule that meeting
I love how easy Calendly is to use. Changing meeting types, updating meetings within the dashboard, automating reminders, etc are all so easy to use with Calendly. It also works very well even if you have many different roles within your company and are selling many different types of products.

  • Ability to view calendars in your own timezone for customers across the country is super helpful!
  • Auto-generating zoom/teams links would be helpful (not sure if this integration exists)

Calendly has been great for scheduling podcast guests, lessons for musical students, and coaching sessions online. It lets me give people an easy link to click and then find a time that matches their schedules. I like that it has options of different time amounts available, like 30-minute or hour sessions. That helps with the various types of coaching that I use. I also can define specific periods to schedule people and have the exact times across days and weeks or take a day and personalize my schedule. For example, I can do that if I have all Tuesdays from 1-3 pm but want a specific Tuesday to be different times available. It also lets you connect with an outside app like Zoom to give people their links, so I don't have to send the links separately. I can organize my different coaching people in a color-coated event type. For example, my students will be in a pink color and my podcast guests in a green. It's such a great tool, and it is worth the money for the hassle it solves.
  • Organization--different event types.
  • Specificity--you can create days the same or do date specific hours.
  • It makes things simple for the client by giving them an easy link for signup.
  • Calendly changed its layout for the user, and it is a little harder to find things like date-specific information or some of the editing. It's still there, but not as easily seen.
  • I wouldn't mind making it easier for clients to cancel their appointments and then schedule new ones. It takes some effort on their part.
  • It would be nice to have a way to embed it on a website or outside place.
It's well suited for music students' lessons. It's well suited for online coaching, primarily through places like Zoom and more. It helps simplify things for your clients, lets you program your schedule, and allows it all to go automatically! If you are working with a senior population, it may be a little tricky for them to sign up and then really hard for them to cancel lessons. There isn't a way to go to the site and cancel. You have to pull up the confirmed email and cancel from there, but people can lose emails.

As software as a service, we must constantly arrange time for customers or trials. It gets more complex, mainly when working with different time zones. In my daily use, using Calendly makes it easier for trials to schedule demonstrations, feedback sessions, or any other type of schedule needed.

I have been using Calendly for quite some time, always in the free account. I understand that some things that I miss, might be available on the paid product. Sadly, for people working outside US or with a weaker currency it can be a little frustrating. I highly recommend, even with this small problem regarding payment.

We have partner collaboration, a time when our preferred partners can book a time to talk to us. We use it for customers to book video calls for the travel agency experience, invite mass groups to webinars, and create custom events.

If I need to speak to somebody, I can send them my link, and they can book time without having to resort to email tennis. We just used it to create an invite for travel partners in the US to go on board the ship, and it has worked flawlessly.

We use Calendly to allow college students to schedule appointments with on-campus resources like Student Success Coaching and peer tutoring. Calendly allows students to schedule appointments without ever speaking to another human (something they truly appreciate!), provides workflows to send automated reminders and follow-ups, and has an interface that students find both appealing and easy to use.

Calendly is well suited for the needs of myself and my colleagues. We need options to allow students to schedule with us and then inevitably reschedule when they realize they have double-booked themselves. Calendly does just that. Assessment of the usage of university resources is necessary and Calendly's analytics provide us with the raw data we need to perform such assessments.

We needed a way to automate scheduling meetings so our staff could use their time to service clients. When we first signed up for Calendly it was a bit of a learning curve however, we are on a good footing now.
The way we use it today is we have segmented our regions (East, Central, West) and each region has an associate from my team who manages the registration, integrations and is the main point of contact. Every user sets up their own Calendly account thru our license and manages it on their own.
  • "Set it and forget it" is something we say often at my company because Calendly events usually can be set up on the first go and does not need to be looked at again. So the ease of being able to just pick a link to share with clients is awesome. We don't have to continuously select dates/times we're free. Calendar integrations with Calendly take care of that for you.
  • Workflows are my absolute favourite because of the possibilities. If you're creative you can use them beyond its intended use. For example, we use the Thank You workflow as a digital business card.
  • I could talk about the product all day long but I think it's also important to note the people behind the product. In this day and age where robots and AI are gaining momentum, having human contact is important and valued. Not just that, but quality customer service where they go above and beyond to meet your needs as well as showing their appreciation to you for being their customer. The relationships I've built with the Calendly staff is like a 3rd family - they truly do care!
  • After a meeting is booked, having the ability to change the location without canceling the entire booking.
  • Being able to offer 2 different locked in locations for certain time periods of the day within the same event. So you're not having to create 2 events for the same thing, only different locations.
  • Giving users permission to create their own routing forms. We run an independent business model where our users like to have control over their subscriptions.
The finance industry is always busy - the advisors and their teams should not be spending their time going back and forth deciding when a meeting would be appropriate. Having your Calendly link in your signature or on your website allows your clients or prospects to select the date and time that works best for them. All the advisor has to do is show up. This is by far the best feature - the ease of access and peace of mind.
It would be less appropriate if someone reaches out with their specific date and times and you still pass on your Calendly link. At our organization it's best practices at that point to schedule on their behalf.

What a wonderful way to organise dates :) I work with clients globally and meetings are my all day business! I use Calendly to set up meetings and there's never a day I have to build booking related conversation with my clients, Calendly does it for me seamlessly! Love the fact that the team never fails to grow better in functionality.
  • Meeting reminders are set using workflows.
  • Ability to set up different meeting slots using the "Event" feature.
  • Possibility to work with multiple time zones.
  • Features that support pre-meeting notes/pointers.
  • I love the UI, but it will be definitely great if colors can change a bit.
  • Workflows are game changers, but having an automated system to send post-call notes as per different scenarios will be helpful.
  • Call confirmations can be indicated in a much brighter and visible way.
I cannot think of any application/software that will be as productive as Calendly! It does not only solve my current problem, but also ensures to bring more features and additional productive ways to make my work easier. It's commendable that the team has Calendly collective and this forum helps us stay connected to new features, discussions and ideas.

We use Calendly to coordinate internal meetings, sales calls, customer interviews, hiring interviews, and for customer support.
  • Scheduling- schedule meetings directly on your calendar. No more "does that time work for you?"
  • Communication/Reminders- automate scheduling reminders for participants to improve attendance rates
  • Availability- Update availability easily for holidays, vacations, etc.
  • Tracking people who reschedule frequently (CRM type tracking)
Highly recommend for anyone who is needing to schedule meetings, calls, events, etc.

It makes things streamlined when there are a lot of moving pieces.

Less appropriate is for maybe for people who don't have scheduling needs, however I don't think people who don't have these needs would be looking for a platform to assist.

I use Calendly to book connection calls (30 minutes or less), to decide on the best times for meetings (using Meeting Polls), and to provide astrology readings for clients (75-90 minutes). I also provide my Calendly booking link in my e-mail signature to decrease needless back-and-forth. I allow anyone to book a call that works best for them by clicking the booking link in my e-mail signature below. My colleagues and connections are always blown away by the efficiency!
  • Customer service (quick response times + competent representatives)

  • Easy automated e-mail creation
  • Updating my Availability on the master calendar. That particular backend interface is not easy to navigate.
  • Adding a “gift card” or “coupon code” field to the payment options would be so much more convenient
Calendly is excellent for a single-person operation like mine. I can also see that it has robust possibilities for expansion for organizations for hundreds of employees as well. I have referred Calendly to all of my small business owner friends for years.

Calendly is probably not ideal for a more elderly user since the backend is not the most user-friendly. However, those with companies who have 5 or more of employees that grew up with online technologies will thrive just fine.

Customer support is 100% via email, which is ok, but very annoying. No matter how big the issue, it is 100% via email. This is true with the paid or the free version. They will ask the same scripted questions and send the same scripted "self-help" messages regardless of what you type. It is a good product, it is very helpful and will make your life easier. It, however, doesn't work great with Microsoft Office/Outlook. If you choose to use this service, unless you need the features that come with the paid version, I recommend getting the free version.
If you are not very tech-oriented, try to find another solution due to the fact that all customer support is via email. If you can't figure it out based upon the email you sent and the one they sent you, then it is your issue. Also, it takes forever to get a response. My syncing issue has been going on for over 4 months.

We use Calendly for our business to book demo appointments for our sales and marketing team. It allows potential customers to schedule meetings without having to have a representative available. It frees up time for our reps to be working on what's really important!

Calendly is perfect for anyone scheduling appointments. We use this for sales appointments, but I see it fitting very well for service industries such as massage, hair, and even coaching. Calendly integrates with any and all calendars and gives you the freedom to set your schedule and let your clients pick their times. You can set up custom meeting times, names, descriptions etc. The range of possibilities is very wide and is extremely user-friendly.

My company has myself, a full time employee and two part time employees. I am the Calendly user and it is no hyperbole to say that I am not sure if I could be in business without it. Like many new business owners, I also have a work from home job. To accomplish my goals as both an excellent employee and a growing business owner, time management is crucial. Calendly allows me to integrate the employer's schedule, and FIVE of my own calendars seamlessly while letting customers of my employer or my own company have de-conflicted access to my schedule. I don't know how anyone that has appointments as a large part of their work could be efficient without Calendly.
  • Easy to Use, I am an idiot and was able to ingest all my calendar information.
  • Meshes multiple calendars easily. For folks with very complex available concerns this is crucial.
  • There needs to be more depth for situations where you have to sync your own Calendly to an employer's Calendly.
  • Multi User scheduling seems less intuitive than I was hoping for.
I STRONGLY recommend Calendly for anyone in the financial services, tech support, or sales. You've got to minimize the phone tag and frustration of clients calling you while you're on the phone or vice versa. Locking folks into appointment times that are easy for them to choose, have integrated Zoom functions and calendar reminders means both you and the client are prepared for the meeting. Before Calendly I would spend a horrific amount of time trying to call back unavailable people. Now I can process over 50% more clients with less stress.

Many of our team members use Calendly to simplify scheduling and make it easier for people to connect with us. In the past, I found I'd go back and forth many times to book a time... and Calendly has made that much easier! There are some downsides - the biggest issue is that you need to be disciplined about keeping your calendar, which I've found helps me. E.g., now I go through my calendar and time-block spaces so no one can slip in an appointment :)
  • Sales. Easy for people to book so less back and forth.
  • Managed access. Easy for me to offer people the "right kind" of slot - I have like 5 hidden event-types I share only with certain people so they can access different availability.
  • Collaborative events! Some of us frequently meet in pairs or groups, e.g., one of our regional leaders and I have a shared link we can send out to people to find a time that works for all of us. LOVE this.
  • I mentioned collaborative events. You can only set this up for people who are all users inside your account. So even if I have a partner who uses Calendly under his own company account, I don't think I can make a shared event with him.
  • Also mentioned already, this isn't a con of the product but a user issue: If you make openings, people will book. So you HAVE TO be disciplined and get everything on your calendar or someone will slip in a booking when you were planning to go to lunch, etc.
I recommend this all the time. I wish I got a commission. I know this sounds super-nerdy but I love this tool... obviously if you don't schedule many meetings, it's not gonna help you... but, if you're a coach (me), or in sales, or someone who does a lot of networking (me) then Calendly is for you.

Coaches etc: I've not tried functions like paid appointments, but in theory you can set up for people to pay when they book.

We use Calendly to solve scheduling for consultations. With its simple and clean interface, Calendly makes scheduling an appointment without frustration. It gets straight to the point for what the client came to do: Make an appointment.
Marketing automation for the next steps is the business problem it addresses for us. Instead of taking several steps to accomplish one thing, we are now able to do that in one click.
  • Sign up is super fast.
  • User Experience (UX) is incredible.
  • Embed Calendly within a website easily.
  • From sign up to actually using Calendly for an average user is 5 minutes or less.
  • If you have more than one company, you cannot use one account. This is the most difficult hurdle to me but still one I am willing to jump over considering all the benefits of Calendly.
  • Adding custom color ability on event types. Example: One of my companies doesn't use any of the color choices. I would like to be able to color code those to my brand.
  • Brand/Asset kit would be a wonderful addition. In profile settings, have a place to upload brand logo, assets, and brand color codes.
Calendly is well suited for companies that need to put a calendar in place that doesn't want to waste time on the details. They want to get to business.
Accelerating the sales process and lead generation are reasons I feel it is well suited. The simplicity of Calendly helps the brain to make better decisions because it is not distracted.
Calendly would not be well suited for entrepreneurs who have multiple companies. It would also not work well and tend to be confusing for holding company or any organization requiring multiple domain/extensions.

I've used Calendly off and on for about 3 years. I most often use it to set up appointments with existing customers for product interviews. These interviews may include other members of my team. It is fairly difficult to try and arrange this manually - lots of back and forth with the customer. Calendly makes that super easy - I create a shared appointment calendar for anyone I want to include, and send the link to my customer. They can then pick any available appointment slots.
  • Great for setting up external meetings.
  • Particularly good if you have multiple people from your organization that you want to include.
  • Has all of the settings and configurations that you might need - I haven't run into a problem that I couldn't solve yet.
  • The user experience has always been it's downfall, particularly when you want to set up appointments with multiple people from your team. It just isn't intuitive.
Calendly is great when you want to book appointments with someone outside your organization. Once you set up your appointment slots, you can just hand out the link to anyone.

Before Calendly, we were using the outdated method of "I have X, Y, Z available. Do any of these times work for you?" The trouble with that is by the time we heard back from our members, X and Z had already been booked and we'd have to start the whole process again.
  • Sending reminders on our behalf.
  • Syncing to our calendars so we do not have to try and keep things updated.
  • Allowing us to create unique and personalized invitations.
  • Allowing us to add a location to the invitation.
  • Users can change their date and time if they need to and we don't have to be involved with trying to set something new up.
  • It is very basic, which is great for users but it could look a bit more exciting.
Calendly works wonders for anyone that is trying to set up appointments with anyone out of their organization. It has really helped us to avoid a lot of back and forth with our members and we don't have to worry about sending reminders. Since we started using Calendly the number of no-shows has certainly decreased.

I use Calendly for almost all of my scheduling needs, whether it be to schedule a time to connect in with a client and address a support issue, or to do a sales demo/discovery call. It really helps me to connect with my clients more quickly and easily.

The international nature of our business involves lots of timezones, as we deal with clients, contractors, and employees all over the world. The use of Calendly thoroughly simplifies our scheduling, whether for interviews, meetings, problem-solving, sales calls, and customer catch-ups. Knowing that availability in your own timezone can be set and viewed locally by another timezone is awesome. The integration to your calendar app is also great, reducing extra clicks and manual timezone calculation.

For us, the value of Calendly is brilliant since we are working in multiple timezones. Even in the same or similar timezones, Calendly reduces the time spent trying to find mutually beneficial times to connect with employees, customers, and suppliers. The ability to set your availability and let it fill up according to the availability of others means a radical boost in productivity.

I personally use Calendly to enable my clients to schedule time with me and use further integrations with Zoom to set up a video conference bridge as well. Since I adopted it, my colleague has adopted it as well.
I also support clients who may want to use it for their own needs, to set it up and integrate it with other necessary processes.
Until one can get to a job level where they can afford a personal assistant (if at all), this is an excellent way of reclaiming time from pointless emails back-and-forth in finding availability. Additionally, it helps me to get the most out of my time since clients can claim every bit of time that'd be available on my calendar (within my defined criteria).

Calendly is very useful for individuals that schedule meetings frequently with folks outside of their organization.
I've also helped clients implement it in scenarios where they want to enable customers to visit them for their services etc. although Acuity etc. might be more functional on that front.
Calendly may not be particularly useful if your customers/stakeholders are internal to your org. and can see your calendar via Outlook/GSuite.

Our software is globally deployed and we have been ramping up more and more clients weekly. Juggling my calendar is tough, and my team and I do not have enough time or bandwidth to do the back and forth of "does this time work for you?" We have also found it very useful in setting up training with customers for our customer success team. Calendly has been such a success we deployed it in our sales and marketing departments as well!

Calendly is extremely well suited for our application of setting up training, sales calls, and other items of the like. I don't really have anything negative to say about Calendly. I found their customer success team helpful and friendly, and use their software daily! I would recommend this for any business professional.

We use it to schedule sales calls for our sales team and also for our onboarding team to schedule onboarding times. In addition, when we attend events we use it to schedule meetings with customers, prospects, and partners at the event. It simplifies the process of connecting with others and reduces the normal back and forth that occurs when trying to find an acceptable common meeting time.
  • Great at collaborating to find a common meeting time that works for everyone.
  • Good at distributing meeting responsibility to multiple internal team members.
  • While it supports systems like Zapier, direct integration with third-party apps is limited.
  • Styling of your calendar isn't really available, so when you embed it into your website you have limited options due to it being an iframe.
We've found the best scenario for Calendly is when you want to include a link in your email signature or within the email body for people to schedule time with you. It greatly simplifies this process. However, if you are looking to integrate Calendly into your website or integrate it into multi-step processes it's not quite as easy or sufficient. For example, when creating a form for scheduling a demo that first requires collecting info on the prospect and then scheduling the meeting things become more difficult. Another issue - Calendly does not support creating hidden fields that can be passed information when the scheduling page is called. This makes it difficult to pass along information on how the individual arrived at the scheduling page. So it's great for individual and group use, but for website integration it needs some work.

Calendly is being used across our entire agency to vastly streamline the appointment scheduling process for team meetings as well as client consultations, sales, and support meetings. I have even started using it personally to schedule lunch or coffee with people who want to meet up locally. Instead of dozens of emails going back and forth to try and find a mutually available time slot, the available times on our end are automatically displayed to the invitee, allowing them to select whatever available slot works for them. It has turned dozens of interactions into a single interaction. A real lifesaver.
  • Shows all available meeting times to invitees in an easy to use interface.
  • Block out available times, lets you control "quiet zones" in your week when you can't be interrupted.
  • Needs the ability for invitee to import their calendar and auto-suggest meeting dates.
  • Could use more "round robin" voting on potential dates (like Doodle).
If you are finding yourself constantly scheduling meetings (consultation, sales, support, counseling, etc) this is an absolutely essential tool. The primary call to action on our business website is to set up a consultation, which right now is the top of our sales funnel. This makes that interaction seamless. It is also excellent for current clients who need to get in touch and talk through issues. You are able to block out available meeting times so you can control your week's flow and are not constantly bombarded with a decision chain of what hours you allow meetings to be booked, and then what dates are best for everyone, you make those decisions proactively and give the client the free-reign choice of when they'd like to meet.
